PRIMARY OBJECTIVE OF POSITION

Act as primary contact/liaison with our third party vendor Ascensus and responsible for IRA operations/processing. Ensure reporting is accurate and timely. Ensure member credit bureau disputes are processed accurately and timely. Maintain, file and retrieve members records. Responsible for the accurate operation of the Imaging System for records management and retrieval. Ensure Credit Union documents to be scanned are completed, including documentation and signatures.


ESSENTIAL JOB FUNCTIONS

  • IRA Responsibilities
  • Oversee IRA records processing for Credit Union.
  • Liaison with IRA processor
  • Ensure reporting to members, processor and IRS is accurate and timely.
  • Ensure IRA documents completed by staff are accurate and correctly reflected in IRA processor system (Ascensus)
  • Provide feedback to manager and VP regarding training needs of IRA frontline staff to reduce repeated errors in IRA documentation.
  • Import IRA documents into Optical System
  • Protect the interest of the credit union and members by verifying accuracy and integrity of IRA documentation and reporting.
  • Process Death Claims on IRA accounts with IRA processor
  • Receive and respond to all credit bureau disputes to ensure our position is correct and secured on the members credit report; timing is critical on these items.
  • Accurately scan and index all appropriate credit union documents and bulk file according to scan date and document type.
  • Apply knowledge of documents to determine document type.
    • Follow the Records Guide to ensure all documents have proper signatures from members, cosigners, that all items needed for document type are included, and follow the proper format for that document type.
    • Determine loan type and ensure that all required documents are included with loans according to loan type and Records Guide.
    • Check lending limits, check terms and interest rates match act sheet.
  • Return all documents/loans if any thing is missing for correcting.
  • Maintain log of returned documents/loans and follow up for retrieval as necessary.
  • Follow credit union policies and procedures.
  • All other duties as assigned.


RELATIONSHIPS AND CONTACTS

Reports To: Payment Systems Director

Contacts: Requires excellent communication and member services skills to effectively communicate, face to face, email, and by telephone, with other departments, financial institutions, members, and IRA vendor when necessary regarding IRA administrative issues.


JOB REQUIREMENTS

EDUCATION

High School Diploma or GED is required
EXPERIENCE

Incumbent must have at least 18 month of financial institution experience.

PHYSICAL REQUIREMENTS

Wrist and hand movement is inherent in the job. Ability to hear and speak to communicate to members and staff. Vision abilities required by this job include close vision for frequent viewing of computer monitor and review of documents. Ability to lift at least 25 lb.

MENTAL REQUIREMENTS

Ability to initiate assistance, make recommendations of appropriate products/services and ask for the business. Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of member service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters

EQUIPMENT SKILLS

Personal computer with windows environment, copy machine, typewriter, telephone, calculator and fax machine.
