Executive Assistant to the COO

This position with the World Science Festival is a unique opportunity to work with a fast-moving, non-profit organization focused on high-profile, content-rich, innovative science programming.
The Executive Assistant will manage the day-to-day administrative needs of the COO and assist on various projects as needed. This is a full-time, multi-faceted role supporting the fast-paced office overseeing the Festivalâs wide-ranging, year-round activities. The Executive Assistant will have a broad scope of responsibilities that require exercising discretion, taking independent initiative, and interacting with staff and external partners.
Responsibilities:
Field requests for, and schedule meetings
Create and maintain an orderly workspace
Coordinate approval processes for copy, web design and other materials
Provide preparatory documents for all meetings, establish agendas, and research backgrounds/bios/objectives in advance
With marketing, track and support management of relationships with partners and sponsors-
Coordinate development of Monthly Management Report
Prepare materials for Board Meetings
Assist in development of budget materials
Organize conference calls and supply back-up phone/reception coverage for office management team
Manage contact database and record related/historical activities
Manage follow-up to meetings
Interact internally with Festivalâs management team as well as externally among current/prospective partners
Requirements:
Bachelor of Arts degree
2-5 years post-collegiate experience working in fast-paced office environments
Excellent writing/proofreading/compositional ability and research skills
Acute time-management, keen attention to detail and ability to multitask
Ability to work independently and as part of a team
Desktop proficiency in Microsoft Word/Outlook/Powerpoint/Excel
Professional maturity, consistent track-record, and strong interpersonal skills
